Segmenting Eventbrite attendees in your email marketing platform with Zapier

With examples in Mailchimp and Klaviyo

Do you want to send emails specifically to those who actually attended one of your events hosted via Eventbrite?

Unfortunately, it’s not as easy as it could be. Although many email marketing tools have integrations with Eventbrite, they only pull Registrants, not Attendance.

You probably don’t want to have to manually go through your contacts and tag attendance manually (or try to figure out an Eventbrite csv export), so here’s a better way!

For this automation, you’ll need:

  • To be familiar with Eventbrite’s “Check-in” feature

  • A Zapier account - this is an integration tool that we’ll set up to automatically pull Check-ins into your email marketing platform of choice (Zapier is free to try)

Getting set up

You might already be using the Check-in tool for Eventbrite - it’s a handy way to take attendance during an event. If not, it’s pretty straightforward: here are instructions for your laptop, or mobile.

Once you’re familiar with the check-in tool, the next step is to set up an integration with Zapier, which will do the following:

  • When an event registrant is Checked-in

  • Modify the contact with the matching email address in your email marketing platform (e.g. tagging them, or tracking a custom event)

Note that Klaviyo is a little bit different to the Mailchimp setup above - in Mailchimp, we’re tagging the contact, but in Klaviyo, we’re using what’s called a “Custom Event”, which is more flexible and data-rich than a tag. Otherwise, the setup is similar in a number of ways.

Testing the automation

Zapier will help you along the way with the testing process - to make sure it has data to work with, you’ll need to set up a dummy Eventbrite event, register yourself, and then use the Check-in app to check yourself in. That will give Zapier dummy data, which is really useful for setting up the “Action” step correctly.

Execution

With your automation live (double-check that it’s turned on!), just check in people as they arrive at your event (or at any time - there’s no requirement to check people in as the event is happening, it’s just a bit more streamlined). Zapier will work automatically on the back-end, updating those people in your email marketing tool.

Then, once all attendance has been tracked, you’ll just need to create a segment in your email marketing tool, by including all contacts who have been modified by Zapier.

E.g. for the Mailchimp example above, set up a segment for all contacts tagged with the attendance tag you set up in Mailchimp (for setting up the segment in Klavyio, refer to the video tutorial above).

Then just set up an email campaign to send to that segment, and you’re set!
